This policy primarily covers visits to cocosw.com and information you submit when making business enquiries, requesting a website review or communicating with us. Information we collect

Depending on how you use the site, we may receive these kinds of information:

  • Your name, email address, phone number or other contact details you choose to provide.
  • Your business or organisation name, website URL, business goals, existing platform, project needs, messages and correspondence.
  • Technical information needed to operate and secure the site, such as IP address, access time, browser or device information, and essential security or error logs.
  • When analytics are enabled, site usage information, referral sources and online identifiers used by the analytics service.

Please do not submit passwords, full payment card details, medical records or other unnecessary sensitive information through ordinary enquiry forms. We do not ask for these details for routine enquiries.

03 / 11

How we use information

We use information to respond to requests you initiate and to provide and maintain our services, including to:

  • Answer enquiries, arrange conversations and understand your business needs.
  • Assess website or software projects, prepare recommendations and quotes, and communicate during agreed work.
  • Protect site security, performance and reliability; and understand and improve site content when analytics are enabled.
  • Maintain necessary business records and handle disputes or legal obligations where applicable.

We do not sell personal information. We send marketing about other services or activities only where we have appropriate consent or another lawful basis, with a way to opt out.

04 / 11

When information is shared

To operate the site and respond to enquiries, information may be processed by providers delivering technical or communications services to us. This does not mean we sell information to third parties.

  • Cloudflare — website hosting, content delivery, security and enquiry-form infrastructure.
  • Business email and communications providers — receiving, storing and replying to messages.
  • Google Analytics 4 — usage analytics, only when enabled in the website configuration.
  • Payment providers, technical vendors or delivery collaborators — only where necessary and authorised for particular services, or otherwise permitted by law.

These services may have their own privacy or data-processing terms. When you follow a link to an external service, that provider’s privacy policy applies to its website.

05 / 11

Cookies, analytics and security

The site may use cookies, browser storage or similar technologies needed for operation. If Google Analytics 4 is enabled, associated identifiers may also be used to understand visits. Analytics data should not be treated as fully anonymous.

We seek to avoid sending names, email addresses, free-text enquiry content or submitted business website addresses as analytics events. You can manage or delete cookies using browser controls, although some site features may be affected.

Google Analytics availability depends on actual website configuration. This policy does not suggest that it is always switched on or off.
06 / 11

Processing outside Australia

Coco operates in Australia, but our hosting, email or analytics providers may store, access or process information outside Australia. The locations depend on the provider, account configuration and service involved.

Where practicable, we can provide information about relevant overseas recipients and locations. Please contact us if you need to discuss current data-processing arrangements.

07 / 11

Keeping information secure

We take reasonable measures appropriate to our size and the information involved to reduce the risk of unauthorised access, loss, misuse or disclosure. This includes managed infrastructure, access controls and appropriate technical safeguards.

No internet transmission or technical system is guaranteed to be completely secure. We therefore cannot promise zero risk. Please avoid sending unnecessary sensitive information through public forms.

08 / 11

Retention and deletion

We retain information for as long as reasonably needed to respond to an enquiry, maintain customer relationships, deliver services, keep necessary business records or meet legal obligations. Retention periods may differ by record type and project.

When information is no longer needed and there is no lawful reason to keep it, we take reasonable steps to delete or de-identify it. Backups and third-party services may follow their own deletion cycles.

09 / 11

Access, correction and choices

You may contact us to request access to personal information we hold, ask for inaccurate details to be corrected or request deletion of information that is no longer required. We may need to reasonably verify your identity before disclosing information.

We consider requests under applicable law and the circumstances. Legal or legitimate record-keeping needs may limit deletion. If a request cannot be met, we will explain why and what further options may be available.

You can also ask to stop receiving any marketing communications that offer an unsubscribe option.
10 / 11

Privacy enquiries and complaints

If you have a concern about how Coco handles information, email [email protected] with details and the outcome you seek. We will review the matter and respond within a reasonable time.

If your concern remains unresolved and relevant laws apply, you may consider the complaint process of the Office of the Australian Information Commissioner (OAIC). It is generally recommended to first give the organisation a chance to respond.

We may update this policy if our services, website technology or legal requirements change. The current version will be published here with its update date. We may give additional notice of significant changes where appropriate.

If you have questions about how this policy applies to a particular project, please contact us.
